We agree an indexing scheme before scanning begins, apply image quality checks at the bench, and key each field in a separate pass from the image capture. Every tranche returns with a per file accuracy statement based on sampling that management can repeat. Source documents are tracked by box and file reference throughout, and returned or securely destroyed under the agreed schedule.

Structured Reporting Suites

We build recurring report packs for finance, operations and compliance owners. Metric definitions live in one governed layer, so a figure means the same thing in every department and every period. Suites include reconciliation views, exception registers and trend schedules, each with a control sheet that states the source, the period and the verifier. Where a team needs a bespoke view, it is built from the same definitions rather than from a private spreadsheet, which keeps the numbers defensible.

Legacy Data Migration

Old platforms are profiled, mapped field by field and transformed under test before any cutover. We keep rollback points at every stage, rehearse the load against a full copy and compare control totals on both sides of the move. A lineage record is produced so any value in the new system can be traced to the record it came from. Where legacy formats are undocumented, we reconstruct the rules from the data and publish the assumptions for sign off before migration proceeds.

Encrypted Archive Services

Long term retention is handled with encryption at rest, strict key custody and scheduled integrity checks. Keys are separated from the data they protect, and every retrieval request is logged, timed and evidenced. We test restoration on a published cycle, not only when a disaster occurs, so an archived record can be produced quickly and defended years after it was written. Retention rules are encoded into the archive so records expire on the agreed date rather than lingering beyond their lawful life.

Compliance Data Audits

We review record keeping against the rules that bind your sector, test access controls and check that retention matches policy. The output is a findings report with owners, dates and evidence references, followed by remediation tracking to closure. We do not leave a client with a list of good intentions. Each finding is either closed, formally accepted as a risk or escalated, and the register is re-tested on the next cycle.
